Teams look at their CRM like rows on a spreadsheet, scrolling through data trying to piece together what’s actually happening. You’re reading, not seeing.
HubSpot has a board view, and a lot of people know that. What they don’t know is what you can actually do with it. There’s a version of this feature that takes two minutes to set up and changes how you check in on clients every single day.
One click and you’re in board view. By default it groups by Lifecycle Stage, and that works fine. That’s what everyone uses.
But you’re not locked to Lifecycle Stage. You can group the board by any property you’ve built inside HubSpot. That’s where this gets useful.
The default view is read-only because HubSpot created it. You can’t edit it directly. What you do is clone it.
Hit Clone to new view, give it a name, and now you own it. From there, go into Board settings, change the grouping to your custom property, and save. That’s the whole setup.
We did this with a Status property across a client portal so the team could see exactly which pipeline each customer was active in.
Before the board, answering that question meant filtering, scrolling, and guessing. After it, the answer was visible the moment anyone opened HubSpot. No reports. No extra steps. No one spending ten minutes finding information they needed thirty seconds ago.
That gap, between information that exists in the system and information you can actually see at a glance, is where time gets wasted and things fall through. If you’ve been relying on list views and manual filters to piece together status, this will feel like switching from a paper map to a live one.

HubSpot won’t always pull in every value from your custom property automatically.
After you set up the board, go through your property values and manually add any that are missing. It takes a few minutes. Skip it and you’ll have an incomplete board that looks broken when it’s actually fine. All the data is there. It just isn’t showing because the values weren’t mapped in.
Once they’re all in, the board gives you an instant snapshot of where every client stands. No digging. No extra reports. You open it and the answer is right there.
Board view with custom grouping isn’t limited to contacts. It works on companies, deals, and any object in HubSpot where you’ve created custom properties.
If you built a property to track client tier, service type, renewal window, or account status, you can build a board around it. Clone the default, set the grouping, add the missing values, and save. That view will be waiting for you every time you log in.
We’ve set these up across multiple objects in client portals. It’s one of the fastest wins inside an existing HubSpot setup because the capability is already there. It just needs to be configured.

Clone the default view. Set your custom property as the grouping. Add any property values that didn’t populate. Save.
You’ll have the answer before the report would have loaded.
