A support ticket gets closed. The rep marks the issue resolved and moves on to the next one.
But did the customer actually think it was fixed?
If nobody asks them in that exact moment, that answer never reaches your team. You operate on the assumption that a closed status equals a solved problem. In business, assuming success without verifying the outcome is how you lose retention.
Here is how to ask them for feedback the second the ticket closes.
A closed ticket is just a status update in your CRM. It tells you what your rep did. It tells you absolutely nothing about how the customer feels.

Many founders assume that a lack of angry emails means the support team is doing a great job. That is a dangerous assumption. Silent churn happens when customers are mildly annoyed but do not feel like complaining. They just leave. Setting up an automated survey forces the issue. It gives the customer a voice before they have time to forget about the interaction.
You cannot ask your support reps to manually email every customer after a ticket closes. They will forget. They will get busy with other tasks. Sometimes, they will actively avoid sending surveys to customers they know are upset.
Relying on human memory for data collection is a failure of system design. It is a textbook example of Why Execution Capacity Is What’s Killing Your Pipeline. Your reps only have so much bandwidth in a day. Forcing them to chase feedback manually limits the number of active tickets they can actually solve. Automating the survey removes the human bottleneck entirely.
Before you build the survey, you have to ensure your portal is actually allowed to send it. Inside your HubSpot Help Desk settings, open the Channels tab. Make sure your primary support email is turned on for sending. You cannot send a survey from an unverified or disconnected address.
Once that is clear, open the Service tab and navigate to Feedback Surveys. Click to create a new survey. Choose the custom survey option and select email as the delivery method. Pick the new survey editor and hit create.
The first thing you do is click the pencil icon and rename it something obvious, like “Support Ticket CSAT.” Naming conventions matter when your portal scales.
Next, click the plus icon to add a question. Select industry-standard questions and add the CSAT block. You do not need to invent a new way to ask if someone is happy. The standard exists for a reason.
You can click the sparkle icon to open Breeze, the HubSpot AI assistant. Type a prompt asking it to draft a short introduction, or just ask it for help. Breeze will suggest wording, but remember that nothing changes until you hit apply. The AI usually writes too much, so trim it down first. You want a short, direct question, not a long letter.
Click the question block and replace the default label with your trimmed text.
A survey is useless if it goes to the wrong person or arrives three days late.
Click the envelope icon in the editor. Set the ‘From’ address to your dedicated support email. Then open the email body section and paste your new introduction.
Now open the Recipients tab. This is where the automation happens. Set the enrollment trigger to watch the Ticket status property. Pick the “Closed” status specifically in your Support Pipeline. Leave the timing set to send immediately.
When you automate administrative tasks like this, you increase your team’s output. It is exactly The Difference Between a CRM and a Revenue Engine. The system handles the follow-up so your team does not have to.
Click review and publish.
Test it yourself before relying on it. Open a dummy ticket in your pipeline and change the status to Closed. Check the test inbox. Open the survey, pick a rating, add a brief comment, and submit it.
Go back to the ticket in HubSpot. You will see the response sitting right there in the Past Feedback card on the right sidebar. The data lives on the record where everyone can see it.
A quick warning on overlap. Your support pipeline might already send an automated “your ticket is closed” email. If it does, you now have two emails firing at the exact same time. You need to make a choice. Keep both, cut the generic closed email, or add a time delay to the survey.
Once this is live, make it a rule to read every low score yourself. Do not hide from bad feedback. Use it to fix your operation.
