What the First 30 Days With a RevOps Pod Actually Looks Like

Most founders ask the same question before they sign: “What exactly am I getting?”

It’s a fair question. RevOps is one of those things that sounds different depending on who you ask. So here’s what the first 30 days looks like from your side of the table. What we do, what you see, and what changes.

Week 1: We Go Into Everything

The first week is not a kickoff call where we present a strategy and ask for your input. We go in and look at what’s actually there.

We pull up your HubSpot and read it. Pipeline stages, deal properties, contact lifecycle stages, active workflows, sequences that are running, sequences that stopped, sequences that were built wrong and never caught. We look at your lead routing, your follow-up timing, your reporting. We ask whether the numbers on your dashboard reflect what’s actually happening. Or whether the data has drifted from reality.

We also talk to whoever is touching HubSpot day to day. A sales rep, a founder, an office manager with admin access. We want to know what the process is supposed to be versus what people are actually doing.

That gap is almost always where the money is going.

By the end of week one, we know where your pipeline is leaking. If you want to understand what those leaks typically look like before we even talk, why execution capacity is what’s killing your pipeline breaks it down.

Week 2: We Fix What Can Be Fixed Right Now

We don’t hold fixes until the end of the month. If something is broken and we can correct it now, we do.

Broken workflows get fixed. Sequences with wrong delays get corrected. Deal stages that don’t reflect your actual sales process get rebuilt. Properties that should be required get locked down. Lead routing gets set to run the way it was supposed to run from day one.

The speed-to-lead piece gets addressed here too. If a new lead comes in and waits 30 minutes for a response, your conversion rate has already taken a hit.

Orlando holds a Lean Six Sigma Black Belt. The way we find and fix operational breakdowns is methodical, not instinct-based. We trace the process, identify where it breaks, and address the root cause not just the symptom.

Week 3: We Build the System That Keeps It Clean

Fixing things once doesn’t mean they stay fixed. Week three is about building the monitoring layer that catches problems before they compound.

This means daily checks on pipeline health. Deals moving. Sequences running. Leads being followed up on within the right window. When something breaks, a routing rule, a workflow trigger, a sequence that stopped firing, we catch it in hours. Not three weeks later when your pipeline looks flat and nobody knows why.

We also build the reports that give you an honest view. Not a dashboard that looks full. One that actually tells you where deals are stalling, which stage is losing the most, and what needs attention this week.

You should be able to look at your pipeline on a Monday morning and know exactly where things stand. By the end of week three, that’s what you have.

Week 4: We Hand You a Clear Picture

The last week of month one is about showing you what we found and what we did about it.

We put together a working brief. Not a strategy deck. What was broken, what we fixed, what we’re monitoring, and where we focus next. Short. Readable. Useful.

Month one covers the first two steps of the way we run every engagement: strategy and implementation. Month two is adoption. Your team running the system we built, with us making sure it holds. Month three is iteration. Adjusting based on what the data shows, not assumptions.

Most projects move faster than clients expect. That’s by design. We are not a consulting firm that runs a six-month discovery process. We come in, get the foundation right, and build from there.

What You Should Expect From Us Throughout

You should hear from us when something matters. Not a weekly status update that says everything is fine. A direct message when we find something, change something, or see something worth flagging.

If we’re changing something that touches your sales team, they hear about it first. If a metric doesn’t add up, we bring it to you before we assume. If we’re unsure about something, we ask.

What a RevOps pod does that a solo hire can’t is built into how we’re structured. There’s always someone on your account. No single person going on vacation and taking your pipeline visibility with them. No tribal knowledge that disappears when someone moves on.

The work runs. Every day. That’s the whole point.

If you want to know what the first 30 days would look like specifically for your pipeline, the call is free. Book time at trailblazer6.com and we’ll tell you exactly where we’d start.
